

IntusHQ Terms & Conditions

1. Acceptance of Terms
By creating an account, accessing, or using IntusHQ, you agree to be bound by these Terms & Conditions and our Privacy Policy. If you do not agree, do not use the service.

2. The Service
IntusHQ is a subscription-based SaaS platform designed to help users manage and track high-value assets across multiple properties. Features may include inventory tracking, photo-based cataloguing, and role-based access. We reserve the right to update, modify, or discontinue features at any time.

3. Eligibility
You must be at least 18 years old and legally capable of entering into binding contracts to use IntusHQ.

4. Accounts

You are responsible for maintaining the confidentiality of your login credentials.

You are responsible for all activity under your account.

You agree to notify us immediately if you suspect unauthorized use.

​
5. Subscriptions, Payments & Cancellations

Use of IntusHQ requires a subscription. Pricing and plans are dependant on the requirements of the project and customised for each client individually.

Plans are invoiced in GBP. We reserve the right to change pricing, plans and features offered at any time and without notice to you.

Payments are billed annually in advance which is due within 7 days of receipt of invoice.

Payments may be made via bank transfer. Customer is responsible paying all bank fees. An additional invoice will be submitted for payment for any shortfalls.

If payment is late, we reserve the right to suspend service to the platform until payment is received. Suspension will remain in place until all outstanding fees are paid in full.

All fees are non-refundable except where required by law.

Subscription renews automatically unless cancelled prior to renewal date. Cancellations must be made in writing by emailing your IntusHQ contact.

Your account and all data included in it will be deleted 90 days after termination or cancellation of service, unless otherwise agreed.

6. User Responsibilities
You agree not to:

Use IntusHQ for unlawful or fraudulent purposes.

Upload or store illegal, infringing, or harmful content.
-
Attempt to interfere with or disrupt the platform’s security or performance.

7. Data Protection & Privacy

Your Data: You retain ownership of all personal and asset data you upload to IntusHQ.

Our Role: IntusHQ acts as a Data Processor for customer-uploaded data, and as a Data Controller for user account data (e.g., registration, billing, communications).

Compliance: We comply with the UK General Data Protection Regulation (UK GDPR), the EU GDPR, and other applicable data protection laws including the California Consumer Privacy Act (CCPA) and Canada’s PIPEDA.

International Transfers: As a global SaaS platform, your data may be processed in the UK, EU, US, or other jurisdictions where we or our service providers operate.

Where data is transferred outside the UK or EEA, we rely on:

Adequacy decisions (where the destination country is recognised as providing equivalent protection), or

Standard Contractual Clauses (SCCs) approved by the European Commission/UK ICO, plus any additional safeguards required by law.

Security: We implement appropriate technical and organisational measures (encryption, access controls, backups, monitoring) to protect your data from loss, misuse, or unauthorised access.

Your Rights:

Under GDPR/UK GDPR, you have the right to access, correct, erase, restrict, or port your personal data, and to object to processing.

Under CCPA (for California residents), you have the right to request access to personal information we hold, request deletion, and opt out of the sale of personal data (note: IntusHQ does not sell personal data).

Under Canada’s PIPEDA, you have the right to access and request corrections to your personal information.

Retention: We retain personal data only as long as necessary to provide the service or comply with legal obligations.

8. Intellectual Property
All software, designs, logos, and content provided by IntusHQ are owned by us or our licensors. You may not copy, modify, or distribute them without prior written consent.

9. Service Availability
We strive for high availability but do not guarantee uninterrupted service. We are not liable for downtime, data loss, or interruptions outside our reasonable control.

10. Termination​

We may suspend or terminate your account if you breach these Terms.

Upon termination, your access will end.

Your account and all data included in it will be deleted 90 days after termination or cancellation of service, unless otherwise agreed.
11. Liability

IntusHQ is provided “as is” without warranties of any kind.

We are not liable for indirect, incidental, or consequential damages.

Our total liability will not exceed the fees paid in the 12 months prior to a claim.

12. Governing Law
These Terms are governed by and construed in accordance with the laws of England & Wales. Disputes shall be subject to the exclusive jurisdiction of the courts of England & Wales.

13. Changes to Terms
We may update these Terms at any time. Continued use of IntusHQ after changes constitutes acceptance of the revised Terms.
