We are a Data Controller for user account information (e.g., sign-up, billing, communications) and a Data Processor for customer-uploaded content (e.g., inventory data, images, notes).

 

2. Information We Collect

We collect:

  • Account Information – name, email, password, company details, payment details.

  • Usage Data – login records, device information, IP address, actions within the platform.

  • Customer Content – data you upload (inventory, photos, notes, documents).

  • Support Communications – enquiries via email or chat.

  • Cookies & Tracking – analytics, session management, and preferences (see Section 9).

3. How We Use Your Information

We process your personal data to:

  • Provide and improve IntusHQ services.

  • Manage billing and subscriptions.

  • Communicate with you about service updates, features, or support.

  • Ensure security, fraud prevention, and compliance with law.

  • Customise and enhance your user experience.
     

Lawful Bases under GDPR/UK GDPR:

  • Contractual necessity (providing the service).

  • Legitimate interests (service improvement, security).

  • Consent (where required, e.g., analytics or marketing cookies).

  • Legal obligation (record-keeping, tax compliance).

4. Sharing of Data

We do not sell personal data.

We may share data with:

  • Service Providers – e.g., hosting (AWS), payment processors (Stripe), communication tools (Resend, HubSpot)

  • Legal/Regulatory Authorities – if required by law or to protect rights.

  • Business Transfers – in case of merger, acquisition, or sale of assets.
     

All third-party processors are bound by contracts to protect your data.

5. International Data Transfers

As a global SaaS platform, data may be processed in the UK, EU, US, Canada, or other regions.

  • For transfers outside the UK/EEA, we rely on adequacy decisions or Standard Contractual Clauses (SCCs) plus required safeguards.

  • We continuously monitor changes in data protection laws to ensure compliance.
     

 

6. Data Retention

  • We retain account and billing data for as long as you maintain a subscription and for up to 7 years after closure (to comply with financial and tax laws).

  • Customer content is retained only while you have an active account and will be deleted within 30–90 days after cancellation, unless otherwise agreed.
     

 

7. Your Rights

Under GDPR/UK GDPR (UK/EU users):

  • Access your data.

  • Correct inaccurate data.

  • Erase your data (“right to be forgotten”).

  • Restrict or object to processing.

  • Data portability.

  • Lodge a complaint with your local supervisory authority.
     

Under US State Privacy Laws (including California CCPA/CPRA, Colorado CPA, Virginia VCDPA, Connecticut CTDPA, Utah UCPA, and others):

  • Know what personal data we collect, how we use it, and with whom it is shared.

  • Access and request deletion of your personal data.

  • Opt out of the sale or sharing of personal data (note: IntusHQ does not sell personal data).

  • Equal service and price, even if you exercise your privacy rights.

Under PIPEDA (Canada):

  • Access personal information.

  • Request corrections.

  • Challenge compliance through the Office of the Privacy Commissioner of Canada.

We use industry-standard safeguards to protect personal data, including:

No system is completely secure; we cannot guarantee absolute security.

IntusHQ is not directed at children under 16 and we do not knowingly collect personal data from children.
